A one-off $1,200 setup fee applies to new accounts. This covers platform configuration, data setup, and three hours of onboarding with your team. Enterprise packages include dedicated implementation support at no additional cost.

All of our plans include base cover for number of cases your funeral business will manage annually. These include:

  • Essentials plan → 100 cases,
  • Professional plan → 200 cases,
  • Enterprise plan → 500+ cases

For lower-volume operators, Case Management is available on a per-case basis in addition to the base monthly fee:

  • $20 per case for 1–20 cases,
  • $15 per case for 21–50 cases
  • $9 per case for 50–200 cases

No, families don't have access to the online portal. They can access memorial and upcoming funeral pages once they've been published and linked with your website.

Any form submission that requires input from the informant will be directly shared with them via email. This is included in your plan at no charge to the families you serve.

Yes, you can cancel at anytime with our Essentials and Professional plan. These plans don't have any lock-in contracts. Your data is always exportable in full — you own it.

However, since our Enterprise plans are custom-tailored to your funeral business' specific needs, there is a 2 years minimum commitment we provide our customers. If you choose to cancel your Enterprise subscription with Gaia, we require 30 days to migrate and hand-off all of your data safely and securely to you.

All our plans include a full-service data migration from your existing software. We import all case records and validate every field before you go live.
